The Archived View of Selling Manager and Selling Manager Pro displays your sales records for the current month and the three previous months. After this four-month period, the records will be automatically deleted from your view.
You can manually archive your listings from your Sold Listings View. If you do not manually archive your sold listings within 90 days after your listings have sold, they will automatically be archived for you in your Archived View.
The Archived View is similar to your Sold View, except:
You cannot make changes to more than one listing at a time.
During the last archived month, you will no longer be able to make changes to your sales records. However, you will be able to email your buyers and print invoices.
From the Archived View for the first three months you can:
View archived items by month
View task status
Update sales status
Change the status of an archived item
Email a buyer
Leave feedback
Print an invoice
Add a note
Viewing Archived listings by month
The Archived View displays your archived sales records one month at a time. As a default, the current month of sales records is displayed.
From the Archived View, select Invoice Period.
From the drop-down list, select the month that you want to view. The Archived View displays sales records for items that sold during the month that you selected.
Viewing task status
Even though an item has been archived, you can still update the shipping and payment status for the sales record during the first three month after it has ended. Just like in the Sold Listings View, the status of post-sales-related tasks is shown with each invoice record.
If you have completed the task, the corresponding icons are shown in blue. Tasks that you have either not completed or not yet updated are shown in gray.
The following tasks are displayed for each invoice record:
The number in this column shows the number of emails you've sent to the buyer
If checkout is complete or not
If you've received payment for the item
If you've shipped the item
If you've left feedback for the buyer for this transaction
If you've received feedback for this transaction
Updating sales status
In the Archived View, you can only update sales status through the sales record.
From the Archived View, click the sales record number or any of the status icons for the record that you want to update. A Sales Record page opens for the invoice that you chose.
Update the fields in the sales record that need to be changed.
Click the Save button to save your changes or click the Save & Finish button to save your changes and exit the sales record.
Changing the status of an archived item
Un-archiving one or more Archived items moves the items back to the Sold View.
Select one or multiple items from the Archived View.
Click on the Move to Sold Table button. Your items are moved to the Sold View of Selling Manager / Selling Manager Pro.
Mailing a buyer from an archived item
Even though a listing has been archived, you can still send the buyer an email for the first three months after the listing has ended.
While in your Archived Listings View, click the sales record number that corresponds to the buyer that you want to email. A Sales Record page for that listing opens.
From the Sales Record page, email the buyer the same way that you would for a non-archive record.
Leaving feedback for an archived item
Even though a listing has been archived, you can still leave feedback for the buyer for the first three months after the listing has ended.
While in your Archived View, click the invoice number for the record that you want to leave feedback for. The Sales Record page for that listing opens.
On the Sales Record page, scroll to below the buyer shipping address and shipping information, and click the Leave Feedback button. A Leave Feedback form opens.
Leave feedback for your buyer, and click the Leave Feedback button to send your feedback.
Printing an Invoice for an archived item
While in the Archived View, click the sales record number for the record that you want to print. A Sales Record page for that listing opens.
From the Sales Record page, click the Print Invoice button.
Adding notes
You can save personal comments for any item in Selling Manager or Selling Manager Pro.
From the Archived View, check the box next to the listing you want to add a note for.
Click the Add Note button.
Enter the text.
Click on the Save button to save the note. The note will then display below the item in Selling Manager or Selling Manager Pro. Your notes will only be visible to you.
