eBay Accounting Assistant Overview

Download the Accounting Assistant User Guide

eBay Accounting Assistant is an easy-to-use software program that helps you import your eBay and PayPal data from eBay, and export it directly into your QuickBooks company file. This reduces data-entry time and minimizes transcription errors.

eBay Accounting Assistant is free to download and use, but the associated eBay user must have a subscription to eBay Blackthorne (Basic or Pro), Selling Manager (Basic or Pro), or eBay Stores. You can try eBay Blackthorne or Selling Manager free of charge for 30 days.

eBay Accounting Assistant has the following features:

  • Download eBay and PayPal fees and transactions.

  • Specify exactly how you want your eBay and PayPal data entered into QuickBooks.

  • Map eBay sales transactions to your existing QuickBooks customers and items.

  • Minimize data entry time with automatic matching of eBay sales transactions to existing customers and items in QuickBooks. Over time, eBay Accounting Assistant gets smarter about matching this data and further reduces your time spent doing data entry.

  • Use QuickBooks classes to separate your eBay sales transactions from other types of sales (if supported by your QuickBooks product). For example, separate online eBay sales from physical storefront sales.

  • Export your eBay and PayPal data to QuickBooks in its complete form so you don't have to do additional work within QuickBooks.

Getting Started

To get started using eBay Accounting Assistant, you need to:

  • Review the system requirements including a list of QuickBooks products supported by eBay Accounting Assistant.

  • If you are not already a subscriber, subscribe to one of the following eBay Seller products:

    • Seller's Assistant (Basic or Pro)

    • Selling Manager (Basic or Pro)

    • eBay Stores

  • Create a QuickBooks company file for your eBay business.

    Note: You will need to set up your QuickBooks product to work with eBay Accounting Assistant:

    • QuickBooks Desktop

      1. In QuickBooks, select Edit > Preferences > Integrated Applications > Company Preferences, and uncheck the option "Don't allow any application to access this company file")

    • QuickBooks Simple Start Online Edition

      1. Under Company > Preferences > Sales Form Entry > Sales Tax, check the Sales Tax box.

      2. Under Company > Preferences > Sales Form Entry > Sales Tax > Sales Tax Account, select the desired sales tax account from the drop-down list.

  • Install eBay Accounting Assistant on the same internet-connected computer that has your QuickBooks product.

Installing eBay Accounting Assistant

  1. Download the installation file from the eBay Accounting Assistant page.

  2. Double-click the eBay Accounting Assistant installation file to start the installation.

    Note: Before using eBay Accounting Assistant for the first time, you will be asked to complete a brief, one-time setup wizard.
