Using Messages in My eBay

The Messages section of My eBay is where you receive and respond to secure messages from eBay and other eBay buyers or sellers.

Finding messages

When you have new messages or alerts, you see reminders in several places. You can click these reminders to see your messages, or go to My eBay and click Messages.

If we send a message to you at your regular email address, you also see it in the Messages section of My eBay. This duplicate message in My eBay verifies that the email is authentic and not a spoof (phishing, or fake) email.

To see your messages:
  1. Click My eBay at the top of most eBay pages.

  2. If you have unread messages, you see a number in parentheses on the Messages tab.

  3. Click Messages to read your messages.

We recommend that you check your messages frequently.

Sending messages

You can contact members by clicking their user ID anywhere on the site. In the member's profile, click Contact.

When you send a message to an eBay member, we deliver a copy of the message to the member's registered email address and to the member's Messages in My eBay.

To keep eBay safe, we limit certain kinds of email. Emails that contain a virus, are especially large, have a blank subject line, or provide an incorrect item number are returned to the sender. Learn more about problems sending or receiving messages in My eBay.

You can also reply to messages you receive in My eBay. You can reply to messages up to 90 days after a transaction.

Searching messages

You can search your messages to find messages by:

  • Sender name

  • Recipient name

  • Item number

  • Keyword

  • Received date

  • Subject title

To search by name or item number:
  1. Go to My eBay > Messages.

  2. Click the name of the folder you want to search on the left side of the page.

  3. Enter your search term in the search box.

  4. Select By sender name, By recipient name, or By item ID from the drop-down menu next to the search box.

  5. Click Search.

To search by item title, subject title, or date:
  1. Go to My eBay > Messages.

  2. Click Advanced search.

  3. Enter your search terms and select what messages you want to search from the drop-down menu.

  4. Click Submit.

Saving and deleting messages

Alerts and messages expire after 6 months if they don't have a shorter expiration date. Once messages expire, we remove them from Messages.. However, you can save messages to your computer.

To save messages:
  1. Select the messages you want to save, and select Save messages… from the Move to drop-down menu at the top of the list of messages.

  2. Select either EML or HTML as your file format, and then click Continue.

  3. Click Download Saved Messages to download a .ZIP file that contains your messages.

You can delete most messages at any time. You can also delete alerts just as you would any other email in the system. Deleted messages remain in the Trash folder for 6 months.

To delete a message:
  1. Select the check box next to the message you want to delete.

  2. Click Delete.

Organizing messages

You can choose how many messages you want to see on each page of your inbox—25, 50, 75, or 100.

To change the number of messages shown per page:
  1. Go to My eBay > Messages.

  2. Click Change settings near the top of the page.

  3. Choose the number you want to see from the Show this number of messages per page drop-down list.

  4. Click Apply.

Organizing your messages into folders

You can organize your messages into folders. You can add up to 10 folders of your own.

These folders are part of Messages and can't be altered:

Folder

Description

Inbox

Where you get all new alerts and messages. We automatically sort messages by time received, with the most recent at the top.

Sent

Contains copies of all the messages you've sent to eBay Customer Service and to other eBay members. You can't delete messages in the Sent folder, but you can copy messages in the Sent folder to another eBay Messages folder you've created, or forward them to another email address.

Archive

This folder contains messages you want to keep for up to 6 months, but don't want in your Inbox. You can also change your preferences to auto archive your messages.

Trash

Contains the messages you deleted for 6 months.

Folders

Here you can create your own personalized folders, like "Holiday shopping" or "Antiques." To create a folder, click Add folder, enter a name for the folder, and then click Save.

To move messages into folders:
  1. Select the check box next to the messages you want to move.

  2. Select the folder where you want to move the messages from the Move to drop-down menu.

Flagging and filtering messages

You can flag messages if they're important and you want to be able to find them quickly later. To flag a message, click the flag icon at the top of the message. Or from your inbox, just click the flag icon next to that message. To remove a flag from a message, click the flag icon again.

You can filter your messages to help you find messages based on who they're from, what they're about, or when you received them.

To filter your messages:
  1. Click Filter at the top of your inbox.

  2. Choose how you want to filter your messages using the drop-down menus.

  3. Click Apply.

If you want to remove the filter later, click Filter at the top of your inbox and choose All from each drop-down menu. Then click Apply.

Manually archiving your messages

If you want to keep messages for future reference but don't want them in your inbox, you can move them to your Archive folder. Select the check box next to the messages you want to archive and then choose Archive from the Move to drop-down menu.

We automatically delete messages in your Archive folder after 6 months. If you want to keep them longer, you can save them to your computer.

Auto archiving messages

You can allow us to automatically move your messages into the Archive folder automatically.

To change your auto archive settings:
  1. Go to My eBay > Messages.

  2. Select Change settings on the top right side of the page.

  3. In the Auto Archive messages section, choose how often you want your messages to be automatically archived. If you want to turn off auto archiving, select None.

  4. Click Apply.

Sending pictures

You can use Messages to send photos to your transaction partners.

To send a picture using Messages:
  1. In your message, click Attach Photos.

  2. Select the picture or pictures (up to 5) that you want to send.

  3. Click Send.

Pictures must:

  • Be no larger than 5MB

  • Be at least 500 pixels on the smallest side (length or width)

  • Be in one of the following formats: JPG, BMP, GIF, PNG or TIF

Adding an email signature

An email signature adds a personal touch to your outgoing emails. Adding an email signature can help promote your business and give customers easy access to your contact information. If you have an eBay Store, you can also add your eBay Store logo to your signature.

To add a signature and Store logo:
  1. Go to My eBay > Messages.

  2. Select Change settings on the top right side of the page.

  3. In the Email Signature section, select Show signature.

  4. Enter your signature in the text box.

  5. If you have an eBay Store, you can also add your Store logo by selecting the Add my store logo check box.

  6. Click Apply.

To remove your signature:
  1. Go to My eBay > Messages.

  2. Select Change settings on the right side of the page.

  3. In the Email signature section, select Don't show signature.

  4. Click Apply.  

Sending out of office replies

If you're going on vacation or not planning to check your email for a while, use the out-of-office reply to notify others who try to contact you. When you create an out-of-office reply, your message is automatically sent in response to any incoming email.

To turn on your out-of-office reply:
  1. Go to My eBay > Messages.

  2. Click Change settings on the top right side of the page.

  3. In the Out of office email response section, select Turn my out of office response ON.

  4. Select a Start Date and End Date.

  5. Enter a message to send to your customers while you're away.

  6. Click Apply.

When the out-of-office reply is on, you see an alert when you visit your Messages inbox.

To turn off your out of office reply:
  1. Go to My eBay > Messages.

  2. Select Change settings on the top right side of the page.

  3. In the Out of office email response section, select Turn my out of office response OFF.

  4. Click Apply.

Forwarding messages

You can forward messages from My eBay to your personal inbox.

To forward a message:
  1. From your Messages inbox, choose the messages you want to forward by selecting the check boxes next to those messages.

  2. Click Forward at the top of your inbox. Your messages will be forwarded to the email address that is associated with your eBay account.

Note: You can change your eBay email address from My eBay.
