Understanding Your eBay Invoice

Your invoice is a statement of your seller's account activity for a one-month period.

You can:

  • View You Invoice Account Summary – contains a summary of your name, billing address, eBay Account ID, balance and payment method.

  • View Invoice Details – contains a list of all fees, payments and credits.

    Note: Due to the time it takes to process charges and payments, there may be slight differences between the invoice amount shown and the amount you are charged.

  • Download your invoice  -  the last 4 months of your account activity can be downloaded to a Microsoft Excel spreadsheet.

Viewing your invoice
eBay offers the following ways to view your invoices:

  • In an email: eBay sends your invoices to the email address associated with your account.

  • By accessing My eBay: Click the “My Accounts” link in My eBay, then click the "View invoices" link in the “My Seller Account Summary” section.

Note: eBay will usually only create and send you an invoice if your account balance is greater than $1.00 during the billing period. To see your account activity and balance when it is less than $1.00, go to your “My Account” page.

Amount Due
eBay requires payment in full each month on accounts with balances of $1.00 or more. For example, if you receive an invoice with the following summary, your expected payment for the month is $25.00.

Differences between invoice and charged amount
Sometimes, there can be a slight difference between the amount shown on your invoice (the amount you owe eBay) and the amount that is charged to your payment method on file.

This is because there is a lapse of a few days between the time your invoice is calculated and the time the payment is processed. During this time eBay applies recent credits to your account, such as payments, item-based credits, etc. However, during this lapse of time, we do not include any new charges. New charges are considered as part of the next billing cycle. In some cases, if your account has a credit balance when the invoice was calculated, the amount debited from your payment method account could be less than your invoice.

Example:

Your invoice created on January 1st shows an amount due of $25.60.
On January 2, you made a one-time payment of $5.00.
On January 3, you received Final Value Fee credits for three items totaling $2.50.
21 days after you receive your invoice, your bank account is automatically debited. Your bank account is debited $25.60 minus $5.00, minus $2.50, equaling a total debit of $18.10.

Invoice Account Summary

You can view your name and billing information, invoice ending date, eBay Account ID, invoice balance and payment Method.

  • The date on the invoice is the last day of your invoice period, and will always be on the same day of the month If your invoice period starts and ends in the middle of the month, your invoice date will always be on the 15th.

  • The automatic payment method that eBay has on file to pay your invoice will be used to charge your account each month, if a payment is due.

  • You will also find your name and billing information (see B in the screen below), eBay Account ID (see C in the screen below) and scroll down a little to see you account Balance.

Invoice Details

The Invoice Details shows a detail of all fees, payments and credits applied to your account during the invoice billing cycle:

  • Payments and Credits – a list of your transaction fee Credits and Payment and Refunds

  • New Fees – a list of transaction fees

Payments and Credits

If you scrolled down the Invoice Detail you can view payment and credits applied to your account, during the billing cycle, under Transaction Fee Credits and the Fee Type, such as Insertion Fee and Final Value Fee.

The fees in the Payment and Credits area appear as a negative amount, which is actually a credit to your account and are then totaled at the end of the section.

Payments and Refunds

The Payment and Refunds area, shows all the payments and refunds that posted to your account, during the billing cycle.

Note: It may take up to 30-days for eBay to process and post a refund to your account. You may see the refund in your account activity before it’s applied to your invoice.

New Fees

The New Fees section of the Invoice Detail shows your selling history since your last invoice. This section may be very long, depending on selling history for the month. If there are any subscription fees or promotional rates they will appear in this section under the Fee Type column.

  • J - Transaction Fee, which can include Final Value Fee, Gallery Fee, Insertion Fee, Subscription Fee, etc.

Note: If you see a charge for a Free subscription, a subscription credit will be posted to your account to offset the charge in the Payments and Credits section.

At the bottom of the New Fees section, you will see a balance of all the new fees. For example: Balance (No Payment Due): -$245.26.  

Downloading Your Invoices and Account Activity 

You can download the last four months of your account activity to a Microsoft Excel spreadsheet. The download will contain detailed information about your transactions, including the line item fees associated with each transaction. Use this information to review your fees paid or perform other financial analyses.

To download your invoice:

  1. Sign in to your account.

  2. Click the “My Account” link on the left navigation menu.

  3. Click the “View invoices” link and select an invoice to view.

  4. Click the “Download” link after the invoice is displayed.

    Note: If your invoice is too large to download immediately, you may be asked to generate an invoice. You’ll be notified when it is ready to download.

  5. Save the file or open it using your preferred application.

To download your account activity data:

  1. Sign in to your account, and click the "My Account" link on the left navigation menu.

  2. Click the “View account status” link.

  3. Click the “Download” link.

  4. Specify a date range to download (if appropriate). 

  5. Save the file or open it using your preferred application.

Note: At certain high traffic times, or if your download is very large, it may take longer to download the file. In this situation, we will get the file ready as quickly as possible and send a notification to your primary email address when it is ready for downloading.
